The National Association of Student Financial Aid Administrators (NASFAA) seeks to hire a part-time Event Logistics Administrative Assistant for a 7-month, grant-funded position. The position will be staffed from January through July 2024, with fluctuating weekly hours based on cadence of work. The selected candidate will have flexibility in determining their monthly work schedule. The Event Logistics Administrative Assistant will support the NASFAA team in planning and producing an in-person conference event focused on higher education in prison. The conference will be national in scope and will focus on providing financial aid and student advising to people who are or have been incarcerated. This position will work closely with NASFAA’s policy, grant, and events departments.

The National Association of Student Financial Aid Administrators (NASFAA) is the only national, nonprofit association with a primary focus on information dissemination, professional development, and legislative and regulatory analysis related to federal student aid programs authorized under Title IV of the Higher Education Act of 1965, as amended. Our membership consists of more than 29,000 financial aid professionals at nearly 3,000 colleges, universities, and career schools across the country. NASFAA member institutions serve nine out of every 10 undergraduates in the United States.


The duties listed below are intended to describe the general nature and level of work being performed by this position. They are not intended to be an exhaustive list of all duties, responsibilities, and skills required of the Event Logistics Administrative Assistant.

  • Coordinate conference session applications and registration.
  • Document and communicate event logistics.
  • Coordinate production of agenda.
  • Produce correspondence about events to be shared with participants and speakers.
  • Facilitate production of presentation materials.
  • Manage on-site logistics.
  • Collect and coordinate expense reporting post-event.
  • Report on event satisfaction surveys.


Required Qualifications:

  • Bachelor’s degree.
  • Excellent oral and written communication skills.
  • Proven attention to detail and organizational skills.
  • Expertise in creating documents, spreadsheets, and slides using either the Microsoft/Office or Google software suites.

 Preferred Qualifications:

  • Experience with projects focused on higher education in prison.
  • Familiarity with conference or event administration.
  • Experience in project management.
