The Office Administrator ensures the smooth, effective, and compassionate operation of the congregation’s administrative, financial, and communication systems. This position supports the congregation by managing daily operations, coordinating with staff and lay leaders, and maintaining clear and efficient administrative processes.
The ideal candidate will bring strong organization and excellent communication skills as well as work well both independently and in collaboration with others. They would also present themselves professionally in a way consistent with Unitarian Universalist values.

Requirements
Key Responsibilities
Administrative and Office Management
Manage day-to-day office operations, including mail, supplies, calendars, and communications including: phone, e-mail, US mail and face-to-face.
Maintain church records, files, and databases (membership, pledging, rentals, etc.).
Coordinate facility use, rentals, and scheduling of meetings and events.
Provide administrative support to the minister, staff, and key committees.
Manage church databases and website.
Financial and Stewardship Support
Work with the Treasurer, Finance Committee, and Bookkeeper to ensure accurate record-keeping of income and expenses.
Manage payroll, reimbursements, and vendor invoices with confidentiality and integrity.
Support stewardship and fundraising campaigns with reports and communications.
Produce and mail out annual donation records at the end of January to comply with IRS regulations.
Communications
Coordinate internal and external communications announcements, website updates, and social media including the Sunday Service program and weekly bulletin.
Maintain a consistent, welcoming, and mission-aligned public presence for UUSM.
Support hybrid/online communication needs for worship and events as needed.
Staff and Volunteer Coordination
Provide administrative support to staff and lay leaders
Foster clear communication and collaboration among teams.
Assist in onboarding new staff and volunteers into UUSM’s systems and culture.
Governance and Policy Support
Maintain governance and policy documents, ensuring access and version control.
Support the Board of Trustees and committees with scheduling, recordkeeping, and communication.
Desired Qualifications
Proven administrative or office management experience (nonprofit or congregational setting preferred).
Strong organizational, time management, and communication skills.
Comfort with technology: Google Workspace, MailChimp, Adobe, databases, WordPress and social media.
Oriented towards detail and accuracy.
Ability to handle confidential information with discretion.
Experience with QuickBooks or similar accounting software preferred.
